How to organize your Medical Transcription Business at home:
It is very important to have an organized office setting when running a medical transcription business from your home office.
Here are some TIPS you can use to help you get organized quickly.
· Have an area that you can listen to your medical transcription dictations without interruption. This can be a separate room that is turned into a home office or an area in your home that is away from everything else.
· Set up a desk and office chair to place your computer. Make sure you have a comfortable chair and that you set the height just right. You do not want to be reaching too high or low to transcribe the medical reports.
· Set up a separate telephone line. You can even set up a distinctive ring line on your home phone so that when a business call comes in it will ring differently. Make sure children know not to answer the phone when it rings the special ring. This is very inexpensive to set up with your phone company.
· Make or purchase business cards. You can make them very inexpensive on your computer or you can go to websites such as Vista Print and order them. Give your business card to as many people you know. You never know when someone might know doctors that are looking for a medical transcription service.
· Buy a filing cabinet if you do not already have one. Every home office should have at least one good filing cabinet. This is where you will keep your customer invoices, contracts with doctors and other important documents.
· Keep a Day Timer Calendar or desk calendar to keep track of any upcoming appointments you might have or deadlines for your medical transcription contracts.
· Every home office needs to have a good bookkeeping system. You can get Quicken or QuickBooks software online or at most office supply stores. Keep track of all income and any expense you have for your business. You should keep receipts for things as small as pens and paper to as large as computer equipment.
· Keep all medical transcription reference books close to your desk. Set up a small bookshelf and put every important MT Book that you might need on that shelf. Books such as the AHDI Book of Style, and a Medical Dictionary should always be within reach because you will use them a lot during your 1st year working as a medical transcriptionist.
· Invest in a set of stacking office trays to keep incoming mail, work that needs to be done right away, and other documents within reach.
