HIPAA Article continued from Page 5 Make sure you have a good Virus Protection Program such as McAfee or Norton and set it to automatically update the virus protection definitions when new updates are available. You would not believe the amount of times that we get emails from students that have “garble” in them. They probably did not even know that the email program sent it out! However, we have strong virus protection software on our network and on all computers. Therefore; these types of emails are found and deleted before any type of virus can infect our systems. Some people do not realize they are “virus emails” and will click on the link in the email or download the attachment because it shows it is coming from “someone they know”. This is not always safe! If anything looks unusual about the email then take safety measures. Contact the friend or family member first and ask if they sent you a link or file. If they did not send it then you might want to let them know they might have a virus on their computer system. RUN FULL VIRUS SCANS! Make sure to run full virus scans at least once a week. Yes, these can take a while to run but you can set it to run during a time you are not working. The “fast scans” do not always catch all of the viruses and you want to make sure that each of your files and programs are always scanned. The only way to do this is by a Full Scan. PROTECT EMAILS & FILES THAT ARE SENT- When sending emails that contain patient information you must make sure the email is secure. You can do this by encrypting the email. If you are sending a file via email, make sure the file is password protected. If you do not know how to encrypt an email or password protect a file you can do a Google search or go to You Tube and search for “how to encrypt an email” “how to password protect a Word file”. You Tube has been known for the silly videos that are uploaded. However, there is much more to You Tube than just silly videos! You can find videos on many different subjects on how to do something. You might have to sort through the good videos and videos that are more of the goofy ones to find what you are looking for. However, it is worth it to be able to watch video tutorials that can help you learn to setup things securely in your medical transcription career. You do not have to have a You Tube account to watch the videos. Setting up a free account can have its benefits. You can save the videos that are very useful to you. This way you can log in and find the videos quickly to reference back to them.
